Exhibitor Registration

Come back beginning in June for information on the  2014 Conference, meanwhile enjoy a retrospective look at the 2013 Conference.

 

Do you work for an exhibiting company? If you work for an exhibiting company and will need access to the exhibit hall during set-up, tear-down and before the hall opens each day, you must register using Exhibitor Registration. Do not also register using Attendee Registration, as duplicate badges will be deleted.

To access your company's specific registration information, you will need to enter your company's password which has been sent to the exhibit contact in previous correspondence. Contact exhibits@ofcconference.org for assistance.

Group Badge Pick-up Request Form Due: Tuesday, 19 February 2013

Badge Allotments:

  • Each company will be responsible for submitting the name(s) of the individual(s) to receive these allotments.
  • Each exhibiting company receives one (1) complimentary full registration (EXT) (including a Technical Digest on CD-ROM, reception drink tickets and OFC/NFOEC Buyers' Guide) per 10'x10' space occupied.
  • There is no limit on Exhibit Personnel (EXP) badges—those badges are complimentary but only allow access to the exhibit floor/exhibitor floor programming.

Exhibit Personnel wishing to register for technical sessions can do so when registering or online at the Exhibitor Resource Center by making the necessary revisions to their exhibitor record. The link to the Resource Center will be provided to each primary exhibitor contact who may then provide it to all registrants. Personnel wishing to register for technical sessions must register by Tuesday, 19 February to receive the pre-registration price. For further details, contact: OFCNFOEC@compusystems.com.

Important notes:

  1. If a company's booth is cancelled for any reason, all free registrations will be cancelled. This includes EXPs and EXT allotments. If any of these personnel still plan to attend the conference, they must re-register as an attendee and pay any required fees.
  2. If a booth is cancelled for any reason, all paid technical upgrade registrations will be converted to full conference registrations, which will be subject to all standard registration policies.
  3. Any outside contractor needing access to the hall during show hours must wear a badge. It is the exhibitor's responsibility to obtain the badges. Register outside contractors as you would regular booth staff personnel through the Exhibitor Registration link. Typically contractors are assisting with setup and tear-down, therefore an Exhibit Personnel (EXP) pass would be sufficient.
  4. Exhibit Pass Plus registrants will not have early access to the halls each day. If a staff member will need access to the halls, do not register them for an Exhibit Pass Plus badge (though attendee registration), rather, register them as Exhibitor Booth Personnel.
  5. Badges must be worn at all times to gain access to the Exhibit Hall.

Group Badge Pick-up:

Deadline for request form: Tuesday, 19 February 2013
During this appointment, exhibitors may pick up badges, badge holders, conference materials (if desired) and make changes and substitutions to exhibitor badges. This is not an appointment to register all personnel. Prior to the group pick-up appointment all exhibitor badges should have been entered into the registration system by the exhibitor.

Please use the form to request a time. Confirmations of appointment times will be sent no later than Friday, 26 February 2013. No group pick-ups will be available for any company not meeting this deadline.

Letters of Invitation

International Exhibitors: Additional information and resources about obtaining visas is available online.

If you are bringing individuals from countries that need visas to enter the United States, we urge you to apply as soon as possible. In most instances the visa is being acted on within 30 days or less, but checks may take longer depending on country and application information. Visit the U.S. Dept. of State website to download visa forms, view fees and read more information about the process.

In order to assist exhibitors, OFC/NFOEC Management will be providing a separate letter of support that may help exhibit personnel in obtaining a visa. This letter will confirm that the exhibitor has signed a contract to exhibit at the conference and will note, if applicable, if the company has exhibited at OFC/NFOEC previously. Unfortunately, OFC/NFOEC Management cannot guarantee visas for any exhibitor or its personnel. If you are interested in receiving an additional letter of support, contact exhibits@ofcconference.org.

Request a Letter of Invitation online from OFC/NFOEC Management. OFC/NFOEC Conference Management is not able to contact U.S. Embassies on behalf of any individual attempting to gain entry into the United States to attend the OFC/NFOEC Conference.
